How to Create an Invoice

  1. Fill in your business name and address, then your client's details.
  2. Set the invoice number, date and payment due date.
  3. Add a line item for each piece of work, with quantity and unit price.
  4. Add tax or a discount percentage if they apply.
  5. Enter your payment terms and bank details in the notes field.

What must a valid invoice include?

At minimum: the word "Invoice", a unique sequential invoice number, the date issued, your business name and address, the client's name and address, a clear description of what was supplied, the amount due, and the payment terms. If you are registered for VAT or GST you must also show your tax registration number, the rate applied and the tax amount as a separate line. Requirements vary by country, so check your local tax authority's guidance.

Why should invoice numbers be sequential?

Most tax authorities require invoice numbers to form an unbroken, traceable sequence so that no sale can be quietly omitted from your records. Gaps invite questions during an audit. A simple format like INV-0001 works well; adding the year, as in 2026-001, makes filing easier once you have a few hundred. Never reuse a number, and if you cancel an invoice issue a credit note rather than deleting it.

When should payment be due?

Fourteen or thirty days from the invoice date are the most common terms. Shorter terms improve your cash flow but can strain client relationships if their internal approval process is slower. Whatever you choose, state it explicitly โ€” "payment due within 14 days" is unambiguous, while "payment on receipt" often is not. Including your bank details directly on the invoice measurably reduces the time it takes to get paid.

Is my client data safe?

Yes. The PDF is assembled inside your browser using a local library, and no field you type is transmitted anywhere. This matters for invoicing because the document contains your client's address, your bank details and your commercial rates. Many free invoice sites require an account and store all of that on their servers; this one has nothing to store.
